  • decide on what food will be provided (usually breakfast, lunch, snacks, coffee, possibly a banquet)
  • contact caterers with details on numbers of people, scheduling, location
  • ensure event location can accommodate food (some rooms restrict eating within the room)
  • if using public campus spaces, be sure to have signs indicating food is for your event
  • if serving alcohol during the banquet, poll the participants on their age

Possibly use UW cards for food.

We need to spend at least $24 per person staying in the dorms per night on UW food to get the discounted dorm rate. Assuming there are 15 people in the dorms for 6 nights, the total we need to spend through UW catering or meal cards = $2,160. The rest we will use outside catering.

South Campus Room 221 does not allow food inside of it. We can use the outside room (Portage Bay Area) for food if it does not get booked by someone else. If it gets booked we have to eat somewhere else.

We are getting debit meal cards for people to use for lunch. Participants will have $12/day or $60/week to spend on lunch. They can purchase anywhere on campus. We are not providing daily breakfast or dinner. Dinner and drinks will be provided on Monday, Sept 10th for the reception at eScience. Snacks and coffee will be provided twice daily through Bay Laurel.
