How to Publish Projects
Once you have added all the information in a project, you must mark the project/activity as 'completed'. You can do this on the 'Project Overview' page.
The default state of project data is always 'draft', but this can be changed to 'complete' by clicking the blue "Mark as Completed" button.
Once a project/activity's data has been marked as 'complete', the button will automatically update to display as 'Mark as Verified'. This is in preparation for the reviewer - a second person at the organisation who should run through all of the data to verify it and ensure there are no errors - who, once they have verified the can, should click the "Mark as Verified" button.
Once "Mark as Verified" button has been clicked, it will automatically update to display as "Mark as published" and you can now click on this button to publish your project.
You will see a message asking you to confirm that you want to publish your project. If you click on 'Yes', an IATI XML file will be generated for you.
To see the finalised file, you can go to the 'Published Files' section of your AidStream account by clicking the link of the same name in the lefthand sidebar. When this section opens, click on the correct XML file link and you'll be able to view the XML file, which is the format used by the IATI Registry.
Please note that even if the project is shown as being in the Published state, the project might not yet have been published to the IATI Registry depending on your settings for the Automatic Update option, which you can find in your organisation's 'Settings' page.
If you have selected 'Yes' in response to the Automatic Update option in the 'Settings' page, the project will be published to the IATI Registry as soon as you click the 'Mark as Published' button and confirm that you want it to be published. You can also check whether an activity has been published to IATI by opening your organisation's page in the IATI Registry - the page is updated instantly. If you already have the IATI Registry page open, make sure you click on the refresh button in your browser.
If you have selected 'No' in response to the Automatic Update option in the 'Settings' page, you will have to manually publish files from AidStream to the IATI Registry. The IATI XML files will be created for you, but you now need to manually publish this file to the IATI Registry.
Please follow these steps to ensure publication to IATI:
- Select Published files from the sidebar menu on the left of your screen.
- Once this page opens, select the XML file/s you want to publish to the Registry
- Click the Publish Projects To IATI button which you will find at the top right of the page.
